The chart of accounts (CoA) defines your ledger structure and drives postings from every module. Lives at /app/admin/chart-of-accounts — FINANCE_ADMIN.

Account fields

  • Code (e.g. 4000, 5000).
  • Name.
  • Type (asset / liability / equity / revenue / expense).
  • Sub-type (current asset, fixed asset, cost of sales, operating expense, …).
  • Parent account (for hierarchy).
  • Currency (if account is currency-locked).
  • Status (active / inactive).

Sub-ledgers

Some accounts are sub-ledger-controlled:

  • AR control — backed by per-customer AR lines.
  • AP control — by per-vendor AP.
  • Inventory — by SKU.
  • Fixed assets — by asset register.
  • Deferred revenue, unbilled revenue, accruals.

Sub-ledger-controlled accounts can only be posted to via module transactions (invoices, bills, journals routed through sub-ledger), never via manual journals.

Posting rules

Each operational action has a default posting rule:

  • Invoice issued → Dr AR / Cr Revenue + Tax.
  • Payment received → Dr Bank / Cr AR.
  • Vendor bill → Dr Expense / Cr AP.
  • Cost accrual → Dr Expense / Cr Accrual.
  • FX reval → Dr/Cr FX accounts.

Rules configurable per service type (air freight revenue, road freight revenue, warehousing revenue, etc.) to specific account codes.

Mapping to external accounting

If you use Zoho Books, QuickBooks, or Xero as your book of record, each platform account maps to an external account code. The integration pushes journals with the mapped codes. See integrations.

Multi-entity

Each entity has its own CoA; group consolidation rolls up via a group CoA with mapping. Chart editing per entity; rollup maintained by finance.

Changes

  • Add new accounts any time.
  • Rename — allowed; audit retained.
  • Inactivate — allowed if no open balance.
  • Delete — only for never-posted-to accounts.

Opening balances

At go-live, import opening balances from your prior system. The platform provides a structured import template; balances post as an opening journal on the go-live date.

Year-end

Standard year-end: P&L accounts roll to retained earnings; B/S carries. Configurable per tenant — some run non-calendar fiscal years.
