The Subscription tab in Settings → Subscription is the self-service home for everything billing-related: current plan, usage, payment methods, platform invoices, and the Change Plan flow.

Overview

Three main sections on the page:

  1. Current Plan — your plan name, billing cycle, status, used-vs-limit counters for users / branches / vehicles / SKUs.
  2. Payment Method — Stripe card on file; can add / remove / set default.
  3. Platform Invoices — list of invoices the platform has issued to your tenant. Click the PDF icon on any row to download.

Plus two critical actions:

  • Change Plan — move between plans with Stripe-prorated billing.
  • Cancel Subscription — stop future renewals (keeps access until the end of the current period).

Downloading a platform invoice

Each row in the Platform Invoices table has a PDF button. Click it; the invoice opens inline in a new tab. Same document the platform email-attached when the invoice was first raised.

The PDF includes:

  • CargoSurge's legal entity details (the "from" block).
  • Your tenant's billing info (the "bill to" block).
  • Itemised lines: base plan, extra seats, overage charges, addons.
  • VAT breakdown and grand total.
  • Bank details footer for wire-transfer fallback.
  • Auto-pay notice if you have a card on file.

Changing payment method

From Payment Method → Manage — opens the Stripe Customer Portal in a new tab. You can:

  • Add a new card.
  • Set which card is the default for auto-charge.
  • Remove an old card.
  • View past Stripe receipts.

Changes sync back to CargoSurge automatically via Stripe webhook.

Change Plan

The Change Plan button opens a dialog listing every plan available. Each plan shows:

  • Price — monthly and yearly (toggleable).
  • Included seats and overage rate.
  • Availability flag — whether you can move to this plan right now.

If a plan is marked unavailable, the dialog explains why (e.g. "you have 12 active users but this plan allows 5"). Remediate first (deactivate users) and the availability will flip.

Selecting a plan:

  1. Shows the Stripe proration preview — "You'll be charged approximately $X now".
  2. Continue to Payment redirects to Stripe Checkout.
  3. On success, the customer.subscription.updated webhook syncs the new plan. Takes a few seconds.
  4. You receive a confirmation email.

Cancelling

Cancel Subscription → confirm → subscription is flagged to stop at period end. Access remains until then. Reactivate anytime by picking a plan.

Note: cancellation doesn't delete your tenant or data. Your data remains accessible for 90 days after the last paid period so you can export — see Settings → Data Export.

Common pitfalls

Enterprise customers

Enterprise tenants are invoiced manually (not Stripe-auto-charged). The Payment Method section will show "Manual invoicing — contact your account manager" instead of a Stripe interface. Plan changes for Enterprise are negotiated with your CSM rather than self-service.
