Warehouse mobile app

Receive inbound, pick outbound, count stock — barcode-scanner first.

2 min readLast updated 13 Apr 2026

The Warehouse mobile app is built for handheld scanners: receive inbound shipments, pick outbound orders, count stock, and move locations — all with barcode scanning at every step.

Overview

  • Android only (industrial scanner support is mature on Android; iOS has limited Bluetooth-scanner ecosystem in warehouses).
  • Login is by WMS user code + PIN (issued by warehouse manager); separate user pool from web-app users.
  • Scanner support: built-in camera scanner works on any phone; for high-throughput sites pair a Bluetooth ring scanner or a dedicated handheld (Honeywell, Zebra).
  • Offline-first: pick lists and inbound expectations cache; sync when connectivity returns.

Daily flows

Inbound (GRN)

  1. Manager creates an expected inbound from the web (or it auto-creates from a Booking).
  2. Receiver opens the app, scans the inbound's barcode (printed on the dispatch note).
  3. Scans each SKU as it's received; quantity defaults to expected, override if short / over.
  4. Scans the bin location each item is put away to (or the manager pre-assigned bins).
  5. Tap Complete Receipt — generates the GRN, updates stock levels.

Outbound (Pick)

  1. Manager releases a pick list from the web (or it auto-creates from a Shopify / WooCommerce order).
  2. Picker opens app → My Picks → grabs the next pick.
  3. App walks them through the bins in optimal order; scans each SKU to confirm.
  4. If a SKU is short, picker marks it; manager gets notified to allocate from another bin.
  5. Picker confirms completion at the pack station; pick list moves to packed state.

Cycle counts

  1. Manager schedules a cycle count (one zone, one ABC class, or random sample).
  2. Counter opens app → Counts → next assigned bin.
  3. Scans every SKU in the bin; enters quantity.
  4. App highlights variances vs system; counter rescans to confirm.
  5. On completion, the variance becomes a stock-adjustment proposal — manager approves or rejects.

Common pitfalls

Permissions on the device

Required:

  • Camera (barcode scanning).
  • Notifications (new pick assignments).
  • Storage (offline cache).

Optional:

  • Location (for warehouse-zone enforcement; pickers should only work in their assigned zone).

Versioning & updates

Auto-update from the Play Store. Breaking server changes are flagged 14 days in advance; upgrades are backwards compatible during that window.
