Vehicles and drivers

Manage your fleet: vehicle records, driver profiles, compliance documents.

The fleet module covers vehicles (trucks, trailers, vans) and drivers. Records live at /app/road/vehicles and /app/road/drivers.

Vehicle record

  • Registration number — primary identifier, unique per tenant.
  • Type — rigid, articulated tractor, trailer, van, pickup.
  • Capacity — payload kg, cubic metres, pallet positions.
  • Dimensions — L × W × H inside the load bed.
  • Fuel type — diesel, petrol, electric, LNG, hybrid.
  • Ownership — owned, leased, subcontractor.
  • Home base — default yard / depot.
  • Telematics id — links to the vehicle's GPS provider. See integrations.
  • Compliance docs — insurance, MOT / fitness, permits, hazmat endorsements. Each with expiry.

Driver record

  • Name, contact, photo.
  • Licence class — LGV / HGV categories relevant to the jurisdiction.
  • Licence expiry, medical expiry, ADR (hazmat) expiry.
  • Home depot.
  • Preferred vehicle types — influences auto-suggestion on the dispatch board.
  • Mobile device — the phone number + app install status for driver mobile.
  • Status — active, on leave, inactive.

Compliance expiry tracking

Every document with an expiry is surfaced on a dashboard at /app/road/compliance:

  • Red: expired.
  • Amber: expiring within 30 days.
  • Green: OK.

You can't dispatch a driver or vehicle whose critical docs (licence, insurance, fitness) are expired — the dispatch board blocks it with a clear error and escalation path.

For hazmat shipments, the platform additionally enforces ADR / hazmat endorsements on both driver and vehicle.

Editing

  • Vehicle / driver admins (ROAD_ADMIN role) edit.
  • Uploads are stored encrypted. Visible only to tenant users with the role.

Subcontractor vehicles

Sub vehicles are modelled the same way but flagged ownership = subcontractor and linked to a vendor record. See subcontractors.
