Bank reconciliation
Match bank statements to receipts and payments the fast way.
3 min readLast updated 13 Apr 2026
Reconciliation matches entries on your bank statement to the corresponding receipts, payments, and bank fees recorded in CargoSurge. Done monthly at minimum — daily for high-volume tenants.
Overview
Inputs:
- Bank statement — CSV or MT940 import, or a direct feed if you've connected a bank API.
- CargoSurge ledger — receipts (customer payments), vendor payments, and bank-level journal entries.
The reconciliation view pairs the two: click a bank line, click the matching CargoSurge entry, confirm. For each pair CargoSurge locks the match; the remaining unmatched items become the "open reconciliation items" list.
Lives at /app/finance/reconciliation.
Step-by-step
- Go to Finance → Reconciliation. Pick the bank account (Settings → Finance → Bank Accounts if not set up yet).
- Upload the bank statement file (CSV, OFX, or MT940). The platform auto-detects the format.
- Set the statement's opening and closing balances — CargoSurge sanity-checks that your ledger matches at the start.
- The matching view shows bank lines on the left, CargoSurge entries on the right, with auto-suggested matches highlighted in green.
- Click Confirm on each correct suggestion, or drag-and-drop to manually pair lines.
- For bank-only entries (bank fees, interest), click + Create Journal to record them in CargoSurge and then confirm the pair.
- For CargoSurge-only entries (a receipt you recorded but the bank hasn't confirmed yet), leave them as "pending" — they'll clear on a later statement.
- When every bank line is matched and closing balances agree, click Close Period. The statement is locked; re-opening requires an admin.
Common pitfalls
Exceptions workflow
Two common exception types:
- Amount mismatch — bank shows $1,000.50, your receipt says $1,000 (a 50-cent bank fee). Split the bank line: $1,000 matches, $0.50 becomes a bank-fee journal entry.
- Bounced payment — a receipt you recorded got bounced. Reverse the receipt (it creates a compensating journal and flips the invoice back to
overdue), then match the bank's debit entry to the reversal.
Period close
Once reconciliation is closed for a month:
- The bank account's balance is locked at the statement closing balance.
- No back-dated edits can happen without admin override.
- Month-end reports (P&L, Balance Sheet) use the reconciled balances.
Don't close a period with open unmatched items — you'll chase them forever. Resolve them first, even if it means a bank-fee journal or a bounced-payment reversal.
Reports
- Reconciliation Summary — per-account status and balance.
- Unreconciled Items — aged list of what's still pending match.
- Bank Activity — all bank transactions within a period, regardless of match state.
