Draft vs Published

Editing a template never affects customers until you publish.

The Designer has a strict draft / published split. Customers only ever see the published template; drafts are yours.

States

  • Published — the live template used when any document of this type is generated right now.
  • Draft — optional. Your work-in-progress on top of the current published version. Only you (and other users in the Designer) see it.
  • No draft — the normal state between edits. Only the published version exists.

Save

Clicking Save writes the current canvas state to the draft. If no draft existed, one is created. Save does not affect customers.

You can Save as often as you like. Each Save overwrites the draft; it doesn't create a new version in the history.

Publish

Publish promotes the draft to published:

  1. Snapshots the draft as a new version in history.
  2. Updates the template pointer so new generations use it.
  3. Clears the draft.
  4. Writes an audit entry.

You're prompted for an optional publish note — short sentence on what changed. Recommended for larger edits.

Discarding a draft

If your draft is a dead-end, use Discard draft in the top bar. Confirmation required. Published version is untouched.

Who can publish

TENANT_ADMIN and ADMIN only. Editors / designers can Save drafts but not Publish — typical workflow is: designer drafts, admin reviews preview, admin publishes.

Previewing as a customer

The canvas uses sample data. To preview with real data before publishing:

  1. Save the draft.
  2. Use Preview with record → pick any existing quote / booking / invoice of that type.
  3. The Designer renders the draft against that record's data.

No document is actually generated or stored.

Emergency rollback

If a published change breaks something, open version history and restore the previous version as draft, then Publish. Total time: ~30 seconds.
