Documents in the customer portal
Which documents your customers can see themselves, and what they can do with them.

Customers with portal access see a filtered view of their own documents. They can download, acknowledge, and in some cases e-sign.
What's visible
Per customer, the portal shows documents generated against records they're a party to:
- Their quotes (bill-to party on the quote).
- Their bookings (shipper / consignee / bill-to — the exact mapping is configurable).
- Their invoices, credit / debit notes, receipts, statements.
- Their delivery orders and arrival notices.
- POD / waybill for their shipments.
Other customers' documents are never exposed; access is enforced at the API layer, not only in the UI.
What's hidden
- Internal-only documents (e.g. cost invoices from vendors, margin reports).
- Draft / unpublished documents.
- Documents from bookings where the customer isn't a party.
Actions
- Download — always available.
- View inline — PDF renders in-browser.
- Acknowledge — for arrival notices. Timestamp + user logged on the booking.
- E-sign — for PODs, optional per tenant. Drawn signature captured as image, embedded into the document, new version stored.
- Dispute — on invoices, opens a message thread. See portal messaging.
Notifications
When a new document is published to their portal, customers get:
- An email (same email flow as email delivery, optional per doc type).
- An in-portal bell notification.
Frequency caps prevent spam (no more than one digest per hour for auto-generated docs).
Access control
Each customer contact has a portal role: viewer (read + download), approver (can acknowledge / e-sign), admin (manage other contacts at that customer). See portal access.
