Emailing documents
Send generated documents to customers with branded email templates.

Most documents are emailed to the customer directly from the platform. The email is branded, logged, and tracked.
Triggering an email
Three ways:
- From the source record — e.g. on a quote, Send to customer → attaches the current quotation PDF and opens the email modal.
- From the document row in Documents Center — Send via email.
- Automated — some flows (invoice issued, booking confirmed) auto-email if the tenant has opted in, per integration settings.
The email modal
- To / Cc / Bcc — pre-filled from the customer's primary contact + billing contacts. Editable.
- Subject — templated (e.g.
Quotation {{quote.number}} from {{tenant.name}}), editable. - Body — rich text; the tenant's default body for this doc type, editable per-send.
- Attachments — the generated document is attached by default. Add more via the attachments picker.
- Reply-to — your user's email, so customer replies land in your inbox.
Email templates
Default subject + body per doc type live at /app/admin/email-templates. Requires TENANT_ADMIN. Supports the same merge variables as the PDF template — {{customer.name}}, {{quote.number}}, etc.
Delivery & tracking
- Emails are sent via the tenant's configured SMTP / provider (SES, SendGrid, SMTP relay).
- Sent status appears on the document row within seconds.
- Bounce / failure is surfaced as a banner on the source record; the document row shows a red icon.
- Open / click tracking is optional per tenant (off by default for privacy).
Customer reply
Replies go to the sender (reply-to = the user). The platform does not ingest replies automatically today — log them in the CRM manually, or use customer portal messaging instead.
Bulk send
Statements of Account can be bulk-emailed from /app/finance/statements → Send all. Each customer gets their own statement. See finance / statements.
